Arctikhana welcomes qualified media creators and editorial outlets to capture and share the excitement of our winter ice-driving events. This policy applies to journalists, photographers, videographers, and licensed drone pilots (collectively referred to as Media).
1. Media Access Overview
Arctikhana may grant limited media access to approved Media for the purpose of content creation, editorial coverage, or both. Media access is a privilege, not a right, and is subject to approval, safety considerations, and event conditions.
Media access falls into one of the following categories:
A. Editorial / Press Media
Includes television, print, online publications, and other journalistic outlets producing news or feature coverage.
- No content deliverables are required
- Access is granted solely for editorial coverage
- Credit or copies of published pieces are appreciated but not required
B. Content-Exchange Media
Includes photographers, videographers, and creators granted complimentary access in exchange for agreed-upon deliverables.
- Deliverables are required as a condition of access
- Specific deliverables will be agreed upon in advance
All Media access is subject to prior approval by Arctikhana and may be limited, modified, or revoked based on safety, weather, ice conditions, operational needs, or event capacity.
2. Deliverable Options
(Content-Exchange Media Only)
Approved Content-Exchange Media must select one of the following deliverable options:
Option A – Photo
- Minimum of 20 edited photos
Option B – Mixed Photo + Video
- Minimum of 10 edited photos
- 3–5 short video clips (10–30 seconds each)
Option C – Video / Drone
- 6–10 short video clips (10–45 seconds each)
Short video clips should be suitable for social media or promotional use. Full edits, music, or narration are not required unless separately agreed.
3. Delivery Timeline & Submission
(Content-Exchange Media Only)
- Deliverables must be submitted within 7 days of the event
- Media will be uploaded to the designated Arctikhana folder provided after approval
- File naming and upload instructions will be included with access details
Failure to deliver agreed content may affect approval for future Arctikhana events.
4. Usage Rights
Content Exchange Media:
Media retain ownership of their content. By participating, Media grant Arctikhana a perpetual, royalty-free, non-exclusive license to use submitted content for marketing, promotional, and informational purposes. Credit will be given when practical.
Editorial / Press Media:
Arctikhana does not claim usage rights over editorial content. Any use of editorial content by Arctikhana will require separate permission unless otherwise agreed.
5. Drone Operations
Drone operators must:
- Hold appropriate FAA certification
- Comply with all FAA and local regulations
- Coordinate with event staff before flying
Drone flight approval is at the discretion of Arctikhana and may be restricted or revoked due to safety, weather, airspace, or operational considerations.
6. Safety & Conduct
Media must follow all event safety rules, posted signage, and staff instructions at all times. Access to certain areas may be restricted, and Media must maintain safe positioning around moving vehicles and changing ice conditions.
Arctikhana reserves the right to revoke Media access for unsafe behavior, interference with event operations, or failure to comply with instructions.
7. Additional Perks
Media providing exceptional or additional content may be eligible for ride-along access or priority approval for future events, at Arctikhana’s discretion.
